We’re looking for an energetic and proactive Team Assistant for a 12 months' contract to support the Marketing, Medical and Business Development, Global Pricing and Market Access Department teams, ensuring seamless coordination, communication, and execution of various tasks and projects. 
 

Scope of the Role

 

Reporting to the Global Marketing Senior Director, your main missions will be:

 

  • Provide administrative assistance to the Marketing, Medical and Business Development, Global Pricing and Market Access Department.
  • Manage setting up of POs (Purchase Orders), receiving and processing invoices from Marketing and Business Development, Global Pricing and Market Access Departments.
  • Monitoring of invoices, ensuring accuracy versus the set budget and up-to-date information.
  • Manage calendars, schedule meetings, and coordinate travel arrangements for department heads and team members when needed.
  • Prepare and edit documents, presentations, and reports as needed.
  • Assist in the execution of marketing campaigns, including coordination of events, conferences, and product launches.
  • Management of contract with external agencies.
  • Preparation, management and submission of Healthcare Professionals contracts and compliance-related tasks.
  • Create, manage and maintain the database of Healthcare Professionals contracts.
  • Preparation and management of CDAs (Confidential Disclosure Agreements).
  • Support the Medical team in organizing medical education events.
  • Assist in the administrative part of P&R (Pricing and Reimbursement) clawbacks.

Experience Required

 

Coming from bachelor's degree (or similar) in Business Administration, Life Sciences, or a related field. you have a minimum of 5 years’ experience working in an administrative supportive function within a global team or company. An experience working to support a marketing or medical affairs team would be a strong plus.

 

Essential skills:

  • Ability to multi-task in a fast-paced environment.
  • Strong organisational skills and ability to prioritise workload.
  • Proactive approach to problem-solving & highly resourceful team-player.
  • Good proficient with a variety of computer software applications (Pack Office, Sharepoint, CRM)
  • Excellent interpersonal and communication skills both in French and in English and comfortable to work in a multicultural environment.

 

Fixed-term contract 12 months starting ASAP with a hybrid work model (blend of on and off-site work) based in Chatillon, next to metro line 13 & T6 tramway.
