Description Overview

We are looking for a meticulous and detail-oriented  Marketing Assistant/Coordinator to join our team. This role will involve coordinating  projects across the Baltic region, including ensuring that all packaging and promotional materials comply with current regulations. The ideal candidate will work closely with brand managers and the regulatory team, managing multiple product types from OTC (over-the-counter) to cosmetics. Precision, strong attention to detail, and organizational skills are key to success in this position.

Scope of the Role

  • Oversee and coordinate the creation, development, and finalization of artwork for various product lines, including OTC and cosmetics, across Estonia, Latvia, and Lithuania.
  • Ensure all artwork is aligned with brand guidelines and regional regulations.
  • Manage timelines and ensure the timely delivery of artwork for product packaging, labels, and promotional materials.
  • Work closely with the regulatory team to ensure that all artwork complies with local regulations for the Baltic region (including packaging, labeling, and claims).
  • Collaborate with the regulatory team to incorporate necessary updates and revisions to artwork in line with changing regulations.
  • Support brand managers in the execution of marketing campaigns by ensuring that artwork is aligned with product launch timelines and marketing strategies.
  • Assist with product communication and presentations to ensure brand consistency across all visual touchpoints.
  • Serve as a key point of contact for artwork-related inquiries between different departments, including regulatory, marketing, and design teams.
  • Facilitate communication with internal designers or agencies to ensure high-quality artwork production and compliance.
  • Proofread artwork and marketing materials for consistency, accuracy, and compliance before production.
  • Maintain accurate records and archives of all artwork files and approvals.
  • Manage multiple artwork projects simultaneously, ensuring that all deliverables are met according to set timelines and within budget.
  • Track project progress and escalate issues to senior management as needed.

Experience Required

  • Bachelor's degree in Marketing, Communications, Design, or a related field is preferred.
  • Strong attention to detail and precision.
  • Excellent communication and interpersonal skills, with the ability to collaborate effectively across teams.
  • Ability to manage multiple projects and meet deadlines in a fast-paced environment.
  • Solid understanding of artwork design processes and file management systems.
  • Familiarity with software tools such as Adobe Creative Suite, project management tools, and Microsoft Office.
  • Proficiency in English and at least two of the Baltic languages (Estonian, Latvian, or Lithuanian) is a must.
  • Knowledge of additional languages is a plus.
