Description Overview

The Order and Compliance Analyst role will either be a dedicated resource for a single customer account or covering multiple accounts depending on the strategic priority. This position manages the same day order maintenance process, the customer order management process including VMI, and the customer compliance fine process.  The position collaborates with internal departments to achieve the Customer order requirements and to proactively minimize/exempt fines.  The position will also provide customer specific reporting and analytics for all of these processes.

Scope of the Role

  • Customer Order Management 
    • Create and process customer orders through customer systems, SAP manual entry, or EDI transmission.
    • Perform product allocations based on customer requirements and inventory availability.

    • Generate deliveries and provide Transportation with required details to schedule delivery appointments.

    • Ensure all customer purchase orders are processed accurately to achieve perfect match standards.

    • Respond promptly to customer inquiries and maintain strong customer relationships.

  • Compliance Fine Management 
    • Retrieve compliance fine data from customer portals or other sources and consolidate it into analytical documents.

    • Analyze fines to determine validity based on defined criteria and supporting data.

    • Coordinate dispute submissions and collaborate with customer teams to resolve fines appropriately.

    • Integrate deduction information from Accounting and ensure accurate SAP updates to maintain correct customer margin reporting.

    • Track, document, and close fines in alignment with internal and customer expectations.

  •  Reporting & Analytics 
    • Prepare and deliver reports related to orders, deliveries, compliance, and account performance.

    • Retrieve and analyze data from SAP and customer systems to identify trends, issues, or improvement opportunities.

    • Present findings through summaries, graphs, dashboards, or written reports to support decision‑making.

    • Provide additional reporting as needed to support customer requirements or internal initiatives.

  •  Same‑Day Order Maintenance 
    • Monitor dashboards and reports to identify and correct D1/D2 (Discontinue Status) errors, mismatches, and cross‑reference issues.

    • Maintain the Same Day Order Maintenance (SDOM) tracker to ensure system accuracy and identify root causes of recurring issues.

    • Validate and update order lead times to ensure accurate planning and execution.

    • Run Z299 reports in SAP to identify price discrepancies and coordinate corrections with Sales.

    • Conduct audits of manual orders to ensure compliance with internal standards.

Experience Required

 

  • Bachelor’s degree preferred; 5+ years of relevant experience may be considered in lieu of degree.

  • Experience working with SAP, EDI, or customer ordering systems strongly preferred.

  • Advanced proficiency in Microsoft Office, especially Excel (pivot tables, VLOOKUPs, data analysis).

  • Ability to quickly learn and master customer‑specific systems and portals.

  • Strong analytical skills with exceptional attention to detail, accuracy, and proofreading.

  • Strong verbal and written communication skills.

  • Demonstrated ability to support multiple account managers and collaborate across departments.

  • Excellent multi‑tasking ability with a sense of urgency and adaptability to shifting priorities.

  • Ability to work independently on multiple concurrent projects.

  • Ability to lead peers and contribute to a positive team environment.

  • Proven ability to research and resolve customer issues to maintain high service levels.
