Description Overview
Perrigo have an exciting opportinity for an experienced Facilities Professional to join the team with a base location at our office in Carnaxide, Lisbon. The purpose of this role is to ensure the consistent delivery of a standardised building and facilities maintenance service across assigned locations. Responsibilities include the effective upkeep of premises, covering aspects of Health and Safety, security, and fleet management as required.
The role has direct responsibility for the day-to-day operation of the Portugal office and acts as the primary front-of-house point of contact for the office. The position is also responsible for the day-to-day operational fleet management of the Portuguese fleet.
The role provides leadership, guidance, and oversight to Office Managers and Assistants across other locations in Iberia.While these in-country roles retain responsibility for the day-to-day management of their respective locations, theyreport into the Portugal-based role for functional direction, consistency, and governance. The geographical scope of responsibility is subject to review and may evolve over time.
Scope of the Role
- Provides day-to-day supervision of facilities operations, including heating and cooling systems, alarms, cleaning and janitorial services, deliveries, waste management, and general maintenance activities.
- Manages the facilities budget, ensuring all compliance-related costs are identified and controlled, and prepares funding requests for capital expenditure (CAPEX) projects as required.
- Manages the external Health and Safety service provider, monitoring working practices and ensuring adherence to applicable safety procedures and regulatory requirements to maintain a safe working environment.
- Supports the identification and resolution of technical issues.
- Contributes to strategic planning activities and continuous improvement initiatives within the facilities function, including participation in projects aligned to site sustainability objectives.
- Supports the set-up and breakdown of office events and manages routine checks of office supplies, including ordering and restocking as required.
- Manages relationships with all facilities vendors to ensure agreed service standards are consistently met and maintained. This includes leading tender processes to identify appropriate suppliers and raising requisitions and purchase orders for facilities-related services and goods.
- Supports new starter on boarding for office-related activities within a limited scope.
- Manages the relationship with the landlord, ensuring that communal areas are maintained to the required standard and in line with lease obligations.
- Supports the wider European Facilities structure and associated real estate initiatives and projects, as required.
- Holds responsibility for operational car fleet management in Portugal, ensuring compliance with the company car
- policy and acting as the primary point of contact for the fleet provider and Portugal-based employees.
- Manages and leads a team of Office support across Iberia locations, subject to future revision, ensuring that local standards and governance requirements are consistently applied. Providing coaching and mentoring.
- Ensuring the cost and facilities data for these countries is available in a consolidated view to the rest of the european team.
- This role in some locations will have responsibility for the management of the office team covering reception and sometimes Executive support assistant roles.
Experience Required
- 5 years of facilities experience is essential. Facilities Management or Health & Safety qualification or working towards would also be advantageous. Portuguese essential. High level of English and Spanish required.
- Problem solving skills, decision making skills, demonstrable ability to work independently and as part of a team and ability to meet tight deadlines within a fast-paced environment are critical for the position’s success.
- The ideal candidate would possess strong PC skills (Microsoft Word, Excel and Power Point) ; SAP experience preferred.
- Excellent verbal and written communication skills, including proven ability to represent Perrigo in a professional manner.
- Demonstrable ability to prioritize, handle interruptions, and perform multiple tasks simultaneously to successfully meet daily goals is required
