Description Overview

The Procurement Contract Administration Lead oversees the end-to-end lifecycle of all qualifying Indirect Procurement contracts—from contract intake, functional compliance management, liaising with both Internal & External Council, supporting Procurement Category Leads, through to contract signature and close-out through contract storage. This role is the central point of control for contract administration, ensuring contracts are monitored from their point of inception, appropriately approved, and stored, and that key contract and compliance obligations (Privacy, IT Security, AI, Commercial, Legal) are tracked and delivered. Working closely with Indirect Category Managers, Legal, Finance, Risk/Compliance, and business stakeholders, the Lead enables timely contracting, reduces commercial and compliance risk, and improves supplier performance through disciplined contract governance and reporting.

 

We currently work in a hybrid model: 3 days in the office and 2 days working remotely.

Scope of the Role

  • Own and manage the contract administration process for qualifying Indirect Procurement agreements, ensuring consistent standards, controls, and turnaround times.
  • Lead contract intake and triage: validate scope, correct templates, required approvals, due diligence, data privacy/security requirements (as applicable), and contracting pathway.
  • Coordinate drafting and redlining with Category Managers and Legal; support negotiation administration by tracking versions, comments, open points, and decision logs.
  • Ensure contracts are executed in line with signature authority, delegation of authority, and internal governance; manage signature routing and execution packs.
  • Maintain the contract repository and quality (e.g., supplier details, term, value, renewal dates, key clauses, SLA/KPI, obligations); ensure documents are searchable and audit-ready.
  • Track and manage contractual obligations, deliverables, and key dates (renewals, price reviews, indexation, notice periods); drive timely stakeholder actions to avoid auto-renewal or lapses.
  • Administer changes: manage amendments, addenda, statements of work, rate cards, and change control to keep commercial terms current and controlled.
  • Provide contract governance reporting and dashboards (pipeline, cycle time, expiries, renewals, compliance exceptions, obligations status) to Procurement leadership and stakeholders.
  • Create, Maintain and continuously improve contract administration procedures, templates, checklists, and playbooks; coach stakeholders on process and documentation requirements.
  • Partner with Risk/Compliance, Finance, and Legal to support audits and ensure adherence to policy, regulatory requirements, and internal controls.
  • In addition to contract administration, the role provides operational and administrative support that enables efficient end‑to‑end procurement execution and supplier onboarding across indirect categories.

Experience Required

  • Clear, professional written and verbal communicator of the English Language; produce concise reports, emails, and presentations tailored to technical and non-technical audiences.
  • Ability to build trusted relationships across cross-functional teams; align expectations, translate requirements into actionable plans, and provide regular updates to drive timely decisions and delivery.
  • Relevant experience in procurement contract administration, contract management, sourcing operations, or a related commercial role (indirect spend preferred).
  • Demonstrated experience managing multiple contracts in parallel with strong control of documentation, approvals, and key dates.
  • Working knowledge of contracting concepts and common clause types; experience partnering with Legal and cross-functional stakeholders.
  • Strong analytical and reporting skills (e.g., Excel) with an ability to maintain high-quality master data.
  • Professional qualification (e.g., CIPS or equivalent) is desirable but not essential.
  • SAP, related CLM systems and contract repository administration.
  • eSourcing and procure-to-pay (P2P) tools (e.g., requisitioning/PO workflows).
  • Microsoft 365 (Excel, SharePoint/Teams) and reporting/dashboard tools.
